You’ve done it. You’ve finished harvest and you’re finally on the well-deserved annual family holiday, when you receive a call from Planfarm’s support team – “Hi there, can you please fill in your datasheet and reconcile your cashbook.” Whoops!
We hate to ruin your holiday vibe — we only want to make sure you get the most out of your consultant on review day. This article is here to help you get the most out of your review day by understanding why complete, timely data makes all the difference.
Keep your cashbook clear
Having unreconciled transactions can introduce errors in the budgets created on review day. The unreconciled transactions can land in either your actuals period or your budget period – both are important and can create flow-on effects. Here’s a quick example of how quickly things can unravel:

Xero user extra
If you’re a Xero user, another common request is to turn off your manual journals. These entries adjust the cashbook reports for things like depreciation, accruals, and year-end adjustments – which fall outside your cash-based budget. Doing this in advance keeps the process smooth for you, your accountant, and your consultant.
When cashbooks aren’t reconciled, follow-up and corrections become necessary, taking up valuable time on review day – or even cutting into your holiday. Keeping your cashbook cleared and up to date means we can prepare an accurate budget to ensure you have the funds you need, exactly when you need them.
Complete production records
Timing is everything when it comes to your production data. Submit too early and harvest records may not be finalised; leave it too late and there’s pressure to pull everything together in a rush. That window in between gives you the breathing room to gather what’s needed — things like final livestock sales, loan amounts, PAYG instalments, agronomist plans — without feeling rushed, while giving the support team the time to thoroughly prepare your file so your consultant can walk into your review fully prepared.
Right now, a datasheet is how we bring all of this together. The process may look different in the future, but getting your production data to us at the right time will always be what sets your review day up for success.
Keep us in the loop
When things change on your end, getting us the full picture early makes a big difference and is greatly appreciated. For example, if you’re switching cashbooks, let your consultant know and grant access at the time of the change – it gives time to make sure everything has transitioned properly, especially as new in-house tools often need to be set up. The same goes for new bank accounts, which need to be manually added to your budget. Even in worst-case scenarios, having complete and timely data means we can step in quickly, minimise disruption, and keep things on track.
It’s your time, spend it wisely
Imagine walking into your review day ready to talk about what really matters from the get-go – current fuel and fertiliser strategies, succession plans, and the future of your business. That’s exactly what becomes possible when your complete data is with us before your review. Let the support team give your file the care and attention it deserves, so you walk away with a whole lot more value on review day.
